What is the difference between an AI receptionist and an ambient scribe?

An AI receptionist answers your phone: it books, reschedules, answers questions and escalates to staff. An ambient scribe listens during an appointment and writes the clinical note. They solve different problems and do not substitute for one another, but they appear together in search results and AI-generated recommendations. Tali AI and Mutuo Health are scribes. Loquent, Arini, Kickcall, DentalAssist.ai and Mihron are receptionists.

Does patient data have to stay in Canada under PHIPA?

PHIPA does not impose an absolute data-residency requirement, but it does require a health information custodian to remain accountable for personal health information handled by a service provider, including outside Ontario. In practice, Canadian storage removes an entire category of risk and paperwork, which is why vendors that offer it say so prominently. Ask where audio is stored and where it is processed — the answers are often different, because transcription frequently happens elsewhere.

What should a clinic ask an AI voice vendor before signing?

Five things: does the contract name PHIPA or only the marketing; where is audio stored and where is it processed; what happens when the AI cannot handle a call and how often does that occur; how deep is the practice management integration, meaning does it write appointments or only read availability; and what happens to your recordings and transcripts if you leave.

AI receptionists for Canadian dental and medical clinics: a PHIPA-first comparison

We read what thirteen vendors publish about PHIPA, PIPEDA, data residency, practice management integrations and pricing. Eight of thirteen publish an explicit PHIPA claim. We build one of these products, and it is judged by the same rules.

How we did this, and why you should check our work

Every claim below comes from a page on the vendor's own website that we fetched and read. Where a vendor does not publish something, the table says “not published” — we did not infer it, ask a salesperson, or fill the gap from a press release. Marketing language like “secure” or “enterprise-grade” was not counted as a compliance claim; only an explicit reference to PHIPA or PIPEDA was.

That standard matters more than it sounds. It measures what a vendor is willing to state publicly, not what they might tell you on a call. For a system that records patient interactions, those are different things, and only one of them is something you can hold them to.

The finding that surprised us

Eight of the thirteen vendors publish an explicit PHIPA claim. Five do not — including two of the best-funded and most visible products in the Canadian market.

The second finding matters just as much when you are shopping: these products are not the same category. Ambient scribes write your clinical notes. Voice receptionists answer your phone. Several vendors that appear in the same search results, and in the same AI-generated recommendations, do completely different jobs. If you are trying to stop missing calls, a scribe cannot help you, however good it is.

Ownership has changed twice: HEALWELL AI took a 51% controlling interest in December 2024 for $5.5M, and Mutuo's own site now states it was acquired by WELLSTAR, a majority-owned WELL Health subsidiary, in 2026. You are buying into a larger platform rather than an independent vendor.

Dental-only and genuinely broad: scribe, voice perio charting, imaging AI and a receptionist. Names ten practice management systems including ClearDent, AbelDent and Curve Dental, and lists Dentalcorp among its customers. Yet we found no PHIPA or PIPEDA claim anywhere on its site, and its privacy policy carries a generic clause about data being transferred outside your province or country.

The only vendor here offering both a phone agent and a scribe, and the only one with a provincial certification: first medical AI voice agent certified by Quebec's Ministry of Health. Raised $6.2M in February 2026. A Quebec MSSS certification is not the same as an Ontario PHIPA attestation — outside Quebec, ask what applies to you.

The most emphatic Canadian residency claim in the set: patient data never leaves Canada, infrastructure 100% Canadian. Names more Canadian clinical systems than anyone else — Oscar Pro, Juno, Jane App, Cliniko, Juvonno, plus Open Dental and Curve Dental. Claims PIPEDA but does not use the word PHIPA.

Publishes the most direct compliance sentence of anyone — PHIPA/PIPEDA-compliant by default with Canadian data residency — plus transparent pricing. Read the FAQ too, though: there the wording softens to “follows PHIPA guidelines,” which is not the same claim. And it is a generalist — the same product is sold to law firms, salons and auto dealers, and its named clinic customers read as illustrative examples.

If you are a Quebec clinic

Secai's MSSS certification is a provincial credential nobody else in this comparison holds.

If you want to see a price before a sales call

DentalAssist.ai, Mihron, Jimmy AI, Tali and Mutuo publish theirs. We do not. That is a legitimate reason to talk to them first.

If you run OSCAR, Accuro or TELUS systems

Kickcall and TalkToMedi name the widest Canadian EMR coverage.

If you are a US dental practice

Arini's published booking-conversion results are the strongest in the set, and Canadian privacy law is not your constraint.

Five questions worth asking any vendor here

01Does your contract name PHIPA, or only your marketing? Ask for the clause.
02Where is the audio stored, and where is it processed? These have different answers more often than you would expect.
03What happens when the AI cannot handle the call? A system that never transfers is not confident, it is badly designed.
04Which practice management system, and how deep? Writing an appointment and reading availability are not the same integration.
05What happens if I leave? Who owns the recordings and transcripts, and in what format do you get them back?

Of the thirteen vendors we checked, eight publish an explicit PHIPA claim on their own website: Tali AI, Mutuo Health, Cabot Solutions, DentalAssist.ai, TalkToMedi, Mihron AI, Jimmy AI and Loquent. Five do not — Arini, Denti.AI, Kickcall, Phelix and Secai — several of which claim PIPEDA, a provincial certification, or HIPAA only. A published claim is not an audit, but a vendor unwilling to state it publicly is a vendor you cannot hold to it.
